TherapyPMS, branded TherapyPM on the vendor site, is practice management software for ABA providers, and its pricing model is the clearest in this category. A flat base fee of 99 dollars a month plus 8 dollars per active client, with a worked example published on the site: 20 active clients costs 99 plus 160, so 259 dollars a month. That transparency is unusual and genuinely useful, because ABA practice software is normally quoted per client with the rate revealed only after a sales conversation, making comparison between vendors difficult.

Charging per active client rather than per user is the right structure for this field. ABA practices employ many behaviour technicians relative to the number of clients they serve, so per-user pricing penalises exactly the staffing model the discipline requires. Tying cost to caseload means it scales with revenue rather than with headcount.

Telehealth is included in the per-client rate rather than sold separately, which matters given how much ABA supervision and parent training now happens remotely. Fax capability is included with an allowance of 150 pages a month and overage at 10 cents a page, and fax remains a real requirement in US healthcare regardless of how anachronistic it seems, since many payers and referring physicians still use it.

A pricing calculator is published so a practice can work out its own figure from its actual caseload before contacting anyone. For a small or growing practice, being able to model cost against a caseload forecast is more useful than a feature comparison, since the software decision is usually made on whether the monthly cost is sustainable at current client numbers.
